Project Coordinator / Administrator
We are seeking a highly experienced Project Coordinator / Administrator to join our team in Galway. This is a 23-month onsite contract opportunity.
Key Responsibilities:
* Manage the Workspace Request mailbox, processing all new queries and logging them onto the database.
* Assist in planning and resourcing of workspace requests for weekly Workspace management governance.
* SUPPORT IN CREATION OF WORKSPACE PLANS TO FIND SOLUTIONS FOR REQUESTS.
* Maintain and update workspace systems, including SiQ platform, databases, and site drawings.
* Maintain and update workspace documentation, such as guides and SharePoint information.
* Complete building surveys to ensure workspace is current.
* Play a key role in the Project Management Office, supporting admin and coordination of all live projects.
* Contribute to Project Management Office project compliance and lead in Project Management Office Governance where Project Leads present their projects to demonstrate compliance to the PMO standards.
* Assist in setting up monthly Workspace and Project Management Office reports, highlighting KPI's on performance.
* Support the PMO Finance in setting up PO's and checking spend allocations against relevant projects.
* Assist Facilities Finance in tracking PO's and updating monthly reports.
* Support the Facilities Helpdesk as necessary.
Requirements:
* Third Level 6 Qualification with 3 years + relevant experience in a similar type role.
* Proficient in Microsoft Outlook, Word, and Excel.
* Ability to collaborate effectively, work effectively, and proactively on cross-functional teams.
* Proficient oral and written communication skills and ability to develop warm cross-functional relationships.
* Good organizational and presentation skills.
Estimated Salary: €60,000 - €80,000 per annum (dependent on experience)
