Clerical Officer/Receptionist
Our client, a public sector body, seeks an experienced Receptionist for a full-time position in Galway City. This temporary, month-to-month contract is available immediately and requires 35 hours of work per week.
Responsibilities:
* Working in a fast-paced environment with accuracy and efficiency.
* Verifying and recording invoices on behalf of the Senior Executive Officer for Utility Bills, Agency, Storage, Cleaning, and Printer Invoices.
* Processing orders for Janitorial items and Oil requests.
* General administration duties, including filing, typing, data input, photocopying, scanning, and minute-taking as required.
* Handling queries via phone, email, and post.
* Transferring messages and contacting relevant stakeholders to follow up on queries related to invoices and services not provided under contracts.
* Attending tender viewings with perspective Cleaning Companies and attending committee meetings.
* Performing other duties assigned by the Staff Officer/Senior Executive Officer.
* Scheduling clinics and processing claim forms.
* Issuing Primary Medical Certs to people with disabilities and sending out clinic appointment letters.
* Maintaining the client database up-to-date.
Requirements:
* Proficiency in Microsoft Office (Word, PowerPoint, and Excel).
* Previous experience within HSE or similar settings.
* Strong typing skills are essential, with dictaphone typing desired but not mandatory.
* Excellent communication, organisational, and presentational skills.
* Attention to detail, prioritisation, and deadline-orientated mindset.
