Key Responsibilities:
Accounts Support:
1. Reconcile bank statements and ensure accurate accounting records.
2. Maintain and update financial spreadsheets and databases.
3. Prepare financial reports for management.
4. Assist in the preparation of monthly, quarterly, and year-end closings.
5. Assist with financial audits and compliance-related tasks.
Accounts Payable (AP):
1. Process and review vendor invoices for accuracy and compliance with company policies.
2. Ensure timely payments to vendors, suppliers, and contractors.
3. Maintain and update vendor records.
4. Reconcile and resolve discrepancies in accounts payable.
5. Work closely with Procurement to resolve queries timely.
Accounts Receivable (AR):
1. Manage customer invoices and ensure timely collections.
2. Track overdue accounts and follow up with customers as necessary.
3. Process customer payments and update accounts accordingly.
4. Maintain customer records and assist with credit management.
Administrative Support:
1. Provide general office and administrative support to various departments.
2. Manage office supplies and inventory, ensuring stock is always maintained.
3. Coordinate meetings, schedules, and appointments for management.
4. Handle correspondence, including emails and phone calls, in a professional manner.
5. Assist in the preparation and filing of reports, documents, and other necessary records.
6. Maintain filing systems for financial and administrative records.
7. Assist in the preparation of presentations and other materials as needed.
Required Skills and Qualifications:
1. Proven experience in accounting, administrative support, or a related field.
2. Strong knowledge of accounts payable, accounts receivable, payroll processing, and general accounting principles.
3. Proficiency in accounting software, SAP B1 knowledge desirable.
4. Strong Excel skills, including the ability to work with formulas and data analysis.
5. Excellent organizational and multitasking abilities.
6. Attention to detail with a focus on accuracy and efficiency.
7. Strong communication skills, both written and verbal.
8. Ability to maintain confidentiality and handle sensitive financial data.
9. Ability to work independently and as part of a team in a fast-paced environment.
10. Knowledge of business management processes and financial reporting.
Preferred Qualifications:
1. Qualification in Accounting, Finance, Business Administration, or a related field.
2. Previous experience in the manufacturing or industrial sector is a plus.
3. Knowledge of tax compliance and labour laws.
4. Bank payments and reconciliations.
5. Part of the SAP B1 roll out.
6. Coordination of customer on-site visits.
