Job Description
The purpose of this role is to support the Head of Operations to ensure the company's efficiency, productivity, and overall success.
The focus of this role is the oversight and continuous improvement of the internal processes that are key to the smooth operation of the business.
The overall purpose of the Operations function is the facilitation of the operational processes to allow the business and delivery teams to carry out the company's services to its clients without bottlenecks or 'grit' in the system, which will further enhance the very strong reputation of the company in the market.
We are looking for a highly organised and detail-oriented person to join our team. The ideal candidate will have a passion for continuous improvement of the business, learning, working in a diverse team, a meticulous approach to detail, and a desire to contribute to the growth and success of our company.
Key Responsibilities
1. Office Management:
* Oversee the facilities across three offices (Dublin HQ, Cork, and Tullamore).
* Oversee the Company's assets – equipment, phones, vans etc., and ensure they are tracked and supported.
* Oversee all travel, events, and other activities undertaken through the operations team.
* Liaise with landlords, contractors, and management companies to ensure the working environment is kept in good working order, safe, and comfortable.
* Manage service providers and sub-contractors to facilitate their engagement and interactions with the Company.
2. Project Support:
* The Operations team provides support to the technical teams in the preparation of bids and delivery of reports to clients. This role is responsible for overseeing this work and undertaking it too when required.
* Administrative management of projects using Coretime Software (previous knowledge of this software system not required).
* Setting up new projects, clients, and subcontractors.
* Closing out projects and filing all relevant documents.
3. Quality:
* Ensuring the Quality Management System is adhered to and contribute to improving procedures and processes to improve the company's operations.
* Maintaining and updating various company records and databases on Excel, such as employee lists, supplier databases, onboarding tracker, training records, and project databases.
4. Information Technology:
* Champion the use of technology to improve efficiencies and enhance internal communication of projects and other work. In particular, the MS 365 full suite, Coretime, and support the use of AI tools such as Grammarly and Copilot.
* Liaise with IT suppliers to maintain the facilities and IT services for the business.
5. HR:
* Provide support on ad-hoc HR matters to support the business and promote good practice.
* Assist with the recruitment and induction of new employees.
* Development and roll out of processes that support transactional HR processes, such as leave management.
6. Finance:
* Provide support through your team to the finance function as required.

Requirements
- Minimum of five years of experience in a similar role, preferably in an engineering consultancy, architecture, or professional services firm.
- Expert level in MS Word and Adobe PDF Editing Software.
- Excellent command of written and spoken English.
- Reasonable level of numeracy and IT literacy.
- Good level of Microsoft Excel.
- Experience with Microsoft SharePoint, Teams, and Outlook.
- Proven ability to work to tight deadlines while also maintaining a high standard of work.
- Ability to multi-task and prioritise workload.
- Good interpersonal skills, dealing with co-workers, business partners, and service providers in a courteous, friendly, and professional manner.
- Willingness to play a part in creating a friendly, sociable atmosphere in the office.
