Job Description
Turner & Townsend are seeking a Lead Administration Assistant to support on large infrastructure projects.
Responsibilities:
* Managing Project Administration and Document Management duties, in respect to overall delivery of the Commercial Operation Department, internal and external communications, meeting minutes and diary coordination.
* Control and administration of the Cemar Contract Management system.
* Control and administration of the SharePoint Document Management System.
* Set up and administration of the Commercial Operations Risk Management System.
* Production of Department reporting requirements to Boards.
* Production of PowerPoint presentations.
* Organising attendance of project team members at conferences, workshops, and training.
* Management of Parliamentary Questions/Enquiries.
* Management of Freedom of Information requests.
* Establish and maintain a suite of standard template documents for the commercial operations department, memos, minutes, letters, file notes, etc.
* General administration duties and provision of support in all relevant tasks, activities or other duties as may be required or assigned by the Project Director.
* Provide weekly infrastructure inspection report to Asset Managers, clearly highlighting issues of concern relating to the condition of the asset.
Qualifications
* 5 years minimum experience of working in a modern office environment.
* Excellent IT skills, with proficiency in MS Word, Excel, PowerPoint, Outlook and the ability to quickly adapt to new systems.
* Ability to work as part of a multi-disciplinary team, with colleagues and external advisors from diverse backgrounds.
* Highly organised, with strong administration and interpersonal skills.
* Excellent written and verbal communication skills and attention to detail.
* Ability to develop and manage document control or information management systems.
* Ability to deal with senior managers and key stakeholders.
* Aptitude for minute taking.
* Highly motivated with ability to work on own initiative.
