Reception Operations Coordinator
Our client, a dynamic and well-respected, multi-award-winning architectural firm based in Dublin City South, is looking to hire a brand-new Reception Operations Coordinator to join their hard-working, success-driven team.
With an international workforce of over 220 employees, this firm works on a wide range of redevelopment projects across Ireland, supporting the rejuvenation and conservation of some of the country’s most well-known landmarks, institutions, and sites, whilst keeping a focus on preserving natural environments around them.
To support this firm’s continued growth and success, they are looking to hire a Reception Operations Coordinator to provide exceptional support to all front office operations, as well as administrative support to team and Senior Management.
This is an excellent permanent opportunity for a proactive, innovative, and detail-oriented Administrative professional, who thrives on working to tight deadlines and supporting a range of projects within a dynamic, diverse, and highly successful organisation.
As their new Reception Operations Coordinator, you will be responsible for:
* Managing all front desk operations and activities, including welcoming all visitors.
* Managing all inbound communications to include calls, emails, and all other correspondence.
* Scheduling and coordinating meetings, appointments, and travel arrangements for Senior Management and team.
* Preparing meeting agendas and taking and distributing minutes.
* Administrative duties to include filing and database management.
* Preparing a range of presentations, reports, and other high-level documents.
* Managing all office facilities, supplies, vendors, maintenance, and repairs.
* Liaising with stakeholders, clients, and the general public.
* Assisting with the coordination of company events and activities.
* Providing administrative support on a range of projects.
The skills and experience you will need include:
* Previous experience in a reception or administrative role (minimum 1-3 years).
* Excellent verbal and written communication skills.
* Strong organizational and multitasking abilities.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* A professional, friendly demeanor with a focus on providing exceptional service.
