Job Title: Office/Site Support Administrator
Location: AF Construction, Rathcoole, Ireland

Reports To: Managing Director / Commercial Manager
Role Overview
The Office/Site Support Administrator will be responsible for providing administrative support to the Managing Director/Commercial Manager and project teams, ensuring efficient office operations, record keeping, and compliance with construction site documentation requirements. This role includes elements of procurement, HR administration, document and supplier coordination.
Key Responsibilities
Executive & Administrative Support
1. Provide ad hoc PA support to the Management, including scheduling meetings and handling correspondence.
2. Prepare reports, presentations and documentation as required.
3. Manage office supplies, equipment and facility maintenance.
Analysis & Record Keeping
1. Maintain accurate records of documentation, overhead invoices, insurance, contracts and correspondence.
2. Assist in tracking costs, budgets, and expenses, providing reports for management.
3. Ensure all documentation complies with company policies and industry regulations.
4. Support site teams by organizing and maintaining construction-related records, including timesheets, and safety documentation.
General HR Administration
1. Support HR functions, including maintaining employee records, contracts, and training documents.
2. Assist with recruitment processes, onboarding, and induction of new employees.
3. Handle payroll documentation and requests.
4. Maintain daily site logs, tracking site activities.
5. Assist in compiling and submitting site reports and progress updates.
6. Ensure all required site documents are up to date.
Health & Safety Compliance
1. Maintain records related to site health & safety compliance and ensure policies are up to date.
2. Organize safety training sessions and track certifications.
3. Ensure PPE and other site safety equipment are available and distributed properly.
Communication & Customer Service
1. Act as the first point of contact for office and site inquiries, calls, and visitors.
2. Coordinate internal and external communications, including emails and notices.
Key Requirements
Qualifications & Experience
1. Prior experience in office administration, site clerking, or a similar role within the construction industry.
2. Strong knowledge of construction documentation and compliance requirements.
3. Proficiency in Microsoft Office Suite and document management systems.
4. Excellent organizational and multitasking skills.
5. Strong communication and interpersonal abilities.
6. Attention to detail and problem-solving skills.
7. Ability to work in a fast-paced environment and support multiple teams.
