The Senior International Payroll Analyst is responsible for the preparation, delivery, and approval of payroll services to our employees in the EMEA, APAC, and LATAM regions. This key role involves collaborating and building relationships internally and externally with our colleagues, partners, and advisors to deliver our promises to our customers. This role involves coordination and support of payrolls in 30 entities across 27 countries (approximately 900+ headcount), with processing carried out by an outsourced global payroll provider.
Main Responsibilities
INTERNATIONAL PAYROLL
* Act as the first point of contact for all payroll customer inquiries.
* Process the assigned payrolls in the region through our third-party vendor in a timely and accurate manner.
* Responsible for collating and processing HR & Benefit Changes: new hires, terminations, transfers, leave of absences, salary changes, sales commission, bonuses, pensions, medical benefits, Benefit in Kind, tax exemptions, payroll taxes, etc.
* Proactively identify and troubleshoot payroll issues, determining the root cause and finding workable solutions.
* Review & check output payroll reports.
* Prepare control books and reconciliations.
* Ensure net salary payments are processed on banking platforms on time.
* Update the standard payroll files on a monthly basis: EBR YTD, MPS, Metrics, Invoicing, EUT ref files, various project trackers.
* Ensure that all monthly, quarterly, and annual tax, social security, and pension declarations & payments are done accurately and on time.
* Ensure payroll journals are posted accurately for our GL team.
* Validate payroll provider invoices, ensuring the invoices are paid in a timely manner.
* Manage payroll support email inbox to ensure emails are answered promptly.
* Attend to various payroll queries and build relationships with colleagues and external payroll providers.
* Continually update payroll documentation.
* Stay up to date on payroll rules and regulations globally.
* Identify and implement appropriate control and compliance mechanisms.
* Responsible for payroll audits & collaborating with local finance & tax in the completion of local, statutory & tax audits.
SUPPORT TEAM
* Cover team's annual leave to ensure all payrolls are processed.
* Approve payrolls & CRFs.
* Be the primary point of contact for all payroll-related issues and an escalation point for all payroll matters for countries in scope.
VENDOR MANAGEMENT
* Participate in managing the relationship with the Global payroll vendor, attending monthly governance meetings to review Service Level Agreement results and metrics results.
* Hold the vendor accountable when appropriate and ensure service credits are applied.
CONTRIBUTE AND/OR LEAD GLOBAL PROJECTS
* Contribute to Global Projects related to International Payroll such as:
* New payroll implementations, integrations, and divestitures.
* Implementation of new bank file formats.
* Implementation of new benefits.
* Data cleansing.
* Supporting payroll vendor projects and new initiatives.
Qualifications/Skills/Experience
* IPASS Payroll certification or equivalent qualification.
* 5+ years global payroll experience in a similar role is required.
* Supplementary experience in a Benefits / HR / Accounting role is favorable.
* A solid knowledge of payroll processes and in-depth experience of operating multiple country payrolls across EMEA, APAC, and LATAM regions.
* Experience working in an international environment is a must; experience in a SSC (Shared Service Center) environment is favorable.
* Experience working with payroll vendors and platform technologies.
* Demonstrated ability to manage third parties.
* Competency in banking & making payments.
* Excellent interpersonal and communication skills (verbal and written) with proven experience of working with and satisfying both internal and external customers in communicating vision and deliverables, maintaining momentum, and setting expectations.
