Purpose of the Role:
Reporting directly to the Chief Operating Officer, the Programme Support Officer will work closely with the Ireland programmes and fundraising & communications teams to support successful delivery of Vita’s programmes in Ethiopia & Eritrea, grant management processes, and fundraising strategy.
Main Duties & Responsibilities:
* Work closely with the Vita Desk Officer Ethiopia & Eritrea to ensure that donor grant management & compliance requirements are adhered to.
* Coordinate and manage all procurement required by Vita programmes in line with Vita procurement and donor guidelines.
* Work closely with the Vita finance department to ensure programme-related invoice payments are effectively processed, tracked, and communicated with relevant staff and partners.
* Contribute to the development of proposals and reports to meet small grant deadlines as part of the programmes team.
* Coordinate preparation of quarterly reports on the Vita 2025 programme key performance indicators (KPI’s) and provision of relevant documents to the Secretary of the Vita Programme Sub-Committee in a timely manner.
* Provide administrative support as required to visiting Vita country programme staff and partners including support for travel bookings.
* Ensure the Vita programmes folder on SharePoint is maintained and up to date.
* Work closely with the fundraising team two days per week to identify potential funding opportunities that advance Vita’s strategic programme objectives.
* Support the fundraising team on specific fundraising initiatives or campaigns.
* Coordinate appropriate engagement in fundraising meetings with other members of the Vita programmes team and ensure timely submission of donor reporting requirements.
* Ensure Salesforce is regularly updated with accurate information for programme fundraising purposes.

Requirements:
Relevant background and experience:
* Minimum of two years’ similar work experience in a project, operations or administrative role in a busy office or preferably charity/NGO environment.
* Educated to degree level, or equivalent, in a relevant discipline.
* Excellent planning, research, and organisational skills with a proven ability to carry out different tasks simultaneously and prioritise time and resources accordingly.
* Excellent interpersonal, English written and oral communication skills.
* Experience in working with social media and online communication tools.
* Strong computer literacy including previous experience with Salesforce or similar CRM software tools.
* Strong analytical skills with attention to detail.
* Proven ability to work independently within a team environment.
* Knowledge of the grant/donor landscape in Ireland is desirable.
Terms & Conditions
Salary Range: €35,000- €40,000 depending on experience.
Nature of contract: This is a full-time position, 40 hours per week. Normal office hours are 09:00 – 17:00 including one paid hour for lunch. Hybrid working is available.
Holidays: 23 days annual leave plus two company days per year.
Contributory Pension: Contributory pension available upon successful completion of six-month probationary period (employer pension contribution 7%).
