The Governance and Consulting Services Team delivers Company Compliance, Board Services and GRC Consulting Services. We are now recruiting for a Team Administrator to join our Dublin office. The role, which operates on-site, will provide exposure to all elements of secretarial and administrative support.
Key Responsibilities
* Managing requests from the Governance and Consulting Services teams and Firm Executive Assistants.
* Providing support on ad hoc tasks including scanning of documents, archiving, shredding and booking of couriers.
* Providing support on all printing requests.
* Assisting with meeting set up, including updating the meeting room system, adding guest names, arranging lunches, car parking, IT requirements etc.
* Submitting expenses.
* Updating the marketing database with new client details.
* Running document comparisons.
* Downloading from data sites.
* 3E Billing - client account refund requests, pay requisitions, WIP reports, new client/matter set up & closing, matter enquiries.
* Managing minute books- filing, creating, organising minute books, scanning minutes, updating spreadsheet.
* Booking meetings, organising catering / IT / etc.
* Updating Systems with new matters/clients.
* Filing physical CRO forms & Bonds.
* Other ad hoc administrative duties as required.
Skills, Knowledge and Expertise
* 1-2 years in a similar administrative role.
* Essential proficiency in MS Office (Excel, Outlook) and experience with billing management systems (3E preferably).
* Demonstrated ability to work in a multi-tasking environment while ensuring accuracy and efficiency.
* Excellent communication and interpersonal skills.
* Solution-minded with the ability to work well under pressure.
* Ability to work independently and prioritise tasks effectively.
* A clear team player who can also take initiative in solutions orientated tasks.
* Flexible, reliable, and highly motivated.
