Arcadis DPS Engineering are seeking an Administrative Coordinator for a large medical device organisation based in Cork. This is initially a 12 month contract.
This role will involve supporting the deployment, integration and management of PMO (Project Management Office) processes, coordinating information and providing reports for the site PMO to facilitate business planning strategies and prioritization, maintaining dashboards to facilitate portfolio and project performance updates.
Responsibilities
* Supporting the site PMO in the deployment of standardized Project and Portfolio governance tools, templates and methodologies.
* Supporting the site PMO with inputs to innovations and strategies that promote the digitalization of portfolio management content.
* Ensuring that data required for the reporting of project finances, resource management, schedule adherence and risk management is provided in a timely fashion in accordance with the standard governance meeting cadence and reporting cycles.
* Qualitative analysis of project performance metrics at project execution reviews to ensure site PMO is consistently notified of projects with potential impact to site performance or goals and that projects requiring escalation to SLT are identified.
* Collating data, reports and reviewing dashboards that input into standard Project Governance Meetings.
* Supporting the site PMO by documenting actions and key decisions made at Project Governance Meetings.
* Ensuring that portfolio Capital, CNIS and VCP data is maintained to the required standard in Planisware.
* Providing weekly, monthly and quarterly reports to track Capital, CNIS and VCP performance versus targets to ensure site PMO can proactively manage risks.
* Ensuring that monthly Capital, CNIS and VCP actualizations and variance commentary are completed in accordance with the financial calendar.
* Providing additional Planisware support during Business Cycles to ensure that changes are made, tracked and documented within the designated timeframes.
* Providing targeted training and consistent support on Planisware to ensure that Project Leads understand and observe the user guidance for project creation and the maintenance of project finances.
* Participating in and understanding all compliance related activities pertaining to the role.
Requirements
* Degree level educated (accredited institution) in one of these fields or similar: Business Systems, Engineering, Production / Supply Chain Management, Lean Operations.
* Advanced MS Office suite of tools (Excel, PowerPoint, Office).
* Working knowledge of Project Management methodologies.
* Project Management qualification/certification preferred.
* Previous experience in a regulated industry preferred.
* Experience in a project management or portfolio management role preferred.
* Experience of Planisware or similar PPM applications.
* Experience of Power BI or similar data visualization and analytics applications.
* Strong influencing skills - excellent communication skills (written and oral).
* Problem Solving skills – to assist in maintaining project progress.
