Role Description:
The HSEQ Assistant is responsible for the development, implementation, and continuous improvement of the company’s Quality, Health, Safety, and Environmental management systems. The role ensures compliance with ISO certifications, enhances operational efficiency, maintains customer satisfaction, and oversees risk management and corrective action processes. The role should be flexible for limited travel within UK / IRE.
Key responsibilities will also include:
* Strategic Planning and Objective Management:
o Support and participate in the development and review of annual objectives for the company.
o Keep track of progress towards objectives and implement corrective actions when necessary.
* Audit and Compliance:
o Develop and manage the internal auditing schedule.
o Support DRA (Design Risk Assessment) and SSRA (Site-Specific Risk Assessment) reviews.
o Perform internal audits and manage the external audit process, liaising with external auditors.
o Ensure successful external audits from certification bodies for ISO 9001, ISO 45001, and ISO 14001.
o Conduct GAP analysis and implement improvement plans.
* Policy and Procedure Management:
o Update the Health & Safety (H&S) Manual, Environmental Management System (EMS) Manual, and Quality Manual.
o Develop and maintain procedures manuals.
o Review and distribute company policies to employees.
o Manage document registers and ensure proper storage of and access to documents.
* Corrective and Preventive Actions (CAPA):
o Investigate, administer, and manage corrective action processes.
o Maintain the action log.
* Training and Development:
o Organise H&S training, induction training, and fire and safety training for GDG offices.
o Maintain the H&S training matrix.
o Arrange the statutory duties training for designers in Ireland and the UK.
* Customer and Employee Feedback:
o Conduct customer feedback surveys and analyse results.
o Review the SWOT (Strengths, Weaknesses, Opportunities, Threats) matrix.
o Manage unplanned event reporting and investigation procedures.
* Meetings and Reporting:
o Organise and support HSEQ (Health, Safety, Environment, and Quality) meetings.
o Review and report on monthly statistical data, balanced scorecard metrics, and ESG (Environmental, Social, Governance) performance.
o Review HIRA (Hazard Identification & Risk Assessment) procedures.
o Manage the DSE (Display Screen Equipment) user self-assessment process.
* Legislative and Compliance Review:
o Review and ensure compliance with company legislation and regulations.
o Maintain current legal register of applicable legislation.
* Continuous Improvement and Integration:
o Develop and improve management systems to enhance customer satisfaction and operational efficiency.
o Maintain process maps of key business functions.
o Integration of lessons learned for future sharing and continual improvement.
o Coordinate HSEQ activities across all departments for seamless integration.
Education/ Qualifications and Competencies:
* 3-5 years+ in discipline related role
* Recognised Quality / HSE Qualification
* Recognised Lead / Internal Auditor Qualification
* Good organisational / presentation and communication skills
* Full Driving License
* Flexible for limited travel within UK / IRE
* Excellent verbal and written English
