Job Description –IT Systems Admin and Support Specialist
This is a newly created role within the company, based in the Company’s Head Office, located in the Blackrock/Mahon area of Cork City. The role reports to the Head of Finance, and it is a hands-on and varied role, maintaining the Company’s critical IT Systems and Applications.
The role encompasses becoming a user expert on all of our IT Systems and driving automation, efficiencies, and staff training across all of our internal tech stack and across all of our IT systems that support the business.
The role also includes systems administration of all our IT Systems and Applications, including MS 365 for our forty staff across 4 office locations, the management of our internal IT helpdesk, managing all hardware, softphones, mobile phones, printers, network, cyber security and IT troubleshooting matters. It also involves working closely and collaboratively with our external IT support partner and IT providers who support us on a day-to-day basis.
The key responsibilities of the role will include:
1. Becoming a subject matter expert on all Ward Personnel IT platforms and systems (including “Recruit CRM” which is our ATS and CRM system, and “Wardal “which is our in-house developed timesheet and invoicing portal).
2. Assist and support the staff team on all queries and issues in relation to the internal IT Systems and Applications used by the company on a day-to-day basis.
3. Co-ordinate our internal IT Helpdesk and liaise with our external IT Support providers as required to resolve issues.
4. Manage the Systems Administration and related service provider relationships around MS 365, Dropbox, Google Drive, Wardal, RCRM, NitroPro, softphones, mobile phones, printers, IT security etc.
5. Ensure that our external IT service providers provide responsive and effective support to all users within agreed SLA’s.
6. Input into Business Continuity plans from the IT perspective.
7. Work closely with our Head of Compliance in relation to documenting all of our IT related procedures and drive continuous improvement across all of our IT Operations, Systems and Applications.
8. Work closely with the Head of Finance to manage the IT budget and to achieve best value for money across all company IT spend, both hardware and software.
9. Administer, track and renew all IT Licences and contracts for Ward Personnel, assist in contract renewals, amendments, and service improvements.
10. Assist the broader team with the identification and project management of any specific IT projects and initiatives within the company.
11. Working closely with the Head of Finance and the Marketing team manage all aspects of our website and adopt a continuous improvement approach to same.
12. Introduce AI and related tools to drive improve business performance and achieve efficiencies across the company.
13. Develop and deliver internal IT Training to our staff (circa forty at present) on all of our IT Systems and Applications that are used within the company on a day-to-day basis.
The successful candidate will:
* Have at least 2/3 years relevant IT/Systems support experience and have an IT qualification.
* Be very strong on MS 365 / IT Systems Administration and proficient in the use of Microsoft Office 365 applications.
* Have a passion for automation and continuous improvement including AI adoption.
* Strong negotiation, communication, and relationship management skills.
* Have excellent attention to detail across all aspects of their work.
* Be enthusiastic, positive and results oriented.
* Be a team player, with strong written and verbal communication skills.
