Base pay range
Location: Dublin, Ireland (3 days in office, 2 days work from home)
Salary: €42K – €47K, with flexibility for candidates with over 5 years of experience
Role Summary
The Bid Coordinator is responsible for managing the entire bid process, ensuring all submissions meet client requirements and deadlines. This role involves coordinating input from various departments, preparing comprehensive proposals, and delivering high-quality bids that reflect the company’s expertise in facility management. The ideal candidate is highly organized, detail-oriented, and capable of working under tight deadlines to secure new business opportunities.
Core Responsibilities
1. Bid Management:
o Coordinate the end-to-end bid process for facility management contracts.
o Ensure timely and compliant submission of tenders, proposals, and RFQs (Request for Quotation).
o Create and manage a bid schedule, assigning roles and responsibilities to team members.
2. Proposal Development:
o Gather inputs from relevant departments (operations, finance, legal, HR) to develop competitive proposals.
o Write and edit sections of the bid, ensuring content is clear, concise, and tailored to client requirements.
o Customize bid responses to highlight the company’s strengths and solutions specific to the client’s needs.
o Act as the central point of contact for all bid-related activities.
o Liaise with internal stakeholders to collect information and secure approvals for bids.
o Collaborate with subject matter experts to create compelling technical and financial proposals.
3. Documentation and Compliance:
o Ensure all bids comply with client specifications, legal requirements, and company policies.
o Maintain an organized repository of past bids, templates, and supporting documentation.
4. Analysis and Improvement:
o Conduct post-bid analysis to identify areas for improvement and lessons learned.
o Monitor industry trends and competitor activities to enhance bid competitiveness.
5. Support Activities:
o Assist in preparing presentations, case studies, and other materials for client meetings.
o Track bid outcomes and provide regular updates to senior management.
Key Skills and Qualifications:
Education: Bachelor’s degree in Business Administration, Marketing, or a related field. Certified APMP Foundation level (desirable)
Experience:
* 2-5 years of experience in bid coordination, tendering, or proposal writing, preferably in the facility management industry, logistics, or healthcare.
* Familiarity with facility management services (e.g., cleaning, catering, maintenance, etc.).
Skills:
* Strong project management and organizational skills.
* Excellent written and verbal communication skills.
* High attention to detail and ability to work under pressure/deadlines.
* Proficient in MS Office Suite (Word, Excel, PowerPoint).
* Knowledge of bid management tools or CRM software is a plus.
