Job Title: Junior Executive Assistant
Reporting to: Senior Executive Assistant
Location: Griffith College Dublin, South Circular Road
Job Type: Full-Time / Fixed-Term (12 months contract)
Job Responsibilities:
Provide support to the Senior Executive Assistant, assisting with the President’s diary management, using MS Outlook, ensuring adequate time for meeting preparation, travel, and follow-up.
Assist in managing the Senior Executive Assistant’s and President’s work schedules in a busy and dynamic environment.
Help prepare and organise documentation required by the Senior Executive Assistant in advance of meetings for the President.
Support in handling administration, phone calls, correspondence, including emails to the President’s office.
Assist in liaising with internal staff, including Senior Management, Faculty, and Department Heads, as well as external bodies on behalf of the Senior Executive Assistant and President.
Provide assistance in coordinating meetings, agendas, and Minutes for various internal committees as directed by the Senior Executive Assistant.
Assist with minute taking and drafting reports, both typed and handwritten, under the direction of the Senior Executive Assistant.
Support in various projects as assigned by the Senior Executive Assistant, such as Learner Protection provision and event coordination.
Help with organising events like Graduation, including liaising with speech writing assistants and managing guest arrangements.
Maintain and update the contacts database (MS Outlook) as well as the President’s LinkedIn account, under the guidance of the Senior Executive Assistant.
Provide basic IT support to the President and coordinate with the IT Support team for more complex issues.
Assist in providing hospitality to guests of the President’s office, including arranging refreshments and managing bookings for restaurants and hotels.
Help maintain filing systems, both hard and digital copies, ensuring proper organisation.
Be familiar with the organisation's Health and Safety policies and procedures.
Carry out additional tasks assigned by the Senior Executive Assistant or President, including personal tasks within the employee’s capacity.
