Job Title: Executive Assistant
This is a temporary opportunity to work as an Executive Assistant for a large global Medical Device company, located in Dublin 15.
Role Responsibilities:
* Manage the executive's diary and calendar, scheduling meetings, conference calls, and travel arrangements.
* Attend management staff meetings, take minutes, and follow up on actions.
* Oversee the meeting cadence, aligning diaries for key meetings, and circulate key information.
* Provide communication support between executives and internal departments, demonstrating leadership and credibility.
* Manage internal communications, including writing and editing newsletter articles, emails, and other correspondence.
* Schedule complex travel itineraries for executives, including visa, air, hotel, and ground transportation arrangements.
* Manage inbox emails and respond accordingly on behalf of the executive.
* Be responsible for expense management, including writing up expenses in Concur, approval, and submission to finance.
* Build executive agendas, presentation materials, and provide onsite support for meetings.
* Book conferences and room reservations in local hotels, manage contracts, catering, meals, special equipment needs, transportation, and other related items.
* Support the organization and execution of company or department events, CSR fundraising activities, and employee engagement activities.
* Act as backup to the Personal Assistant during annual leave and as required.
* Perform other projects and duties as assigned.
Requirements:
* 5-7 years' experience in an EA role, preferably within a multinational company.
* Skilled with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Concur expense management.
* Able to reliably commute to Damastown D15 Monday-Friday.
* Professional demeanor.
* Bachelor's Degree and/or equivalent work experience supporting senior management/executives.
* Immediately available.
* High level of verbal and written communication skills.
