What you need to know
We are currently seeking a Senior Office Administrator for our client based in Dublin South-West.
In this role, you will support the Project Managers and Construction Site teams for projects. This is a fast-paced environment with multiple projects on the go. The person will play a vital part in the smooth running of the business.
Your new job
Key duties and responsibilities:
1. Prepare information packs by gathering, generating, and collating necessary documentation before surveys and project commencement.
2. Arrange service alterations with utility companies and schedule tasks for crew, contractors, and homeowners.
3. Review and approve contractor invoices, submit variations to key clients, and monitor progress.
4. Maintain management systems, ensuring all data is current and up to date.
5. Create and issue homeowner handover packs and compile weekly client reports on environmental, site safety, and rework matters.
6. Manage stock control for site materials and office facilities.
7. Input work orders, assist with communication between teams, manage office supplies, and provide additional administrative support as needed.
What are we looking for?
1. 2+ years’ experience within a similar role.
2. Excellent IT skills and proficiency with desktops, PCs, mobiles and networking, specifically Microsoft Office packages – Word, Excel, G-suite and ZOHO.
3. Experience uploading, downloading and filing documents electronically.
4. Excellent literacy, numeracy, accuracy, and attention to detail.
5. Ability to communicate clearly and effectively and establish good working relationships.
6. Highly self-motivated and ability to work on own initiative.
