The Role
Reports To: Chief Executive OfficerWe are a leading international corporate services firm, providing management, financial reporting, compliance and corporate administration services to our rapidly growing client base. Our team is comprised of industry experts who are dedicated to delivering exceptional client service and are passionate about driving success for our clients.We are seeking a highly organised and proactive Executive Assistant to support our CEO. The ideal person will be a strategic thinker with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment. Responsibilities
Key responsibilitiesTo act as the first point of contact for the CEO, proactively and promptly reviewing and tracking incoming enquiries such as emails, invitations, and correspondence, responding directly or advising on responses to the CEO and providing clarity of outcomes/actions.Deliver comprehensive administrative support to the CEO, including scheduling meetings, managing calendars, coordinating marketing itineraries and making international travel arrangements and accommodation bookings.Coordinate meetings, agendas, minutes of meetings, actions items and follow-up.Provide administrative and management support, such as meeting minutes, preparation of presentations and maintenance of administration systems.Manage the execution of documents, including obtaining necessary signatures and tracking document status.Manage special projects and initiatives as assigned by the CEO.Act as a liaison between the CEO and internal/external stakeholders.Research, compile, verify, and analyse information and prepare ad-hoc reports and presentations.Collaborate with the marketing team to ensure alignment with company goals and strategies.Assist in organising and coordinating marketing events, such as conferences, seminars, and social events.Assist in the preparation of marketing proposals and presentations.Assist with creation and maintenance of marketing materials, such as brochures and digital promotional contentConduct market research and gather information to support marketing initiatives.Support the development and execution of marketing campaigns, including digital marketing, social media, and content creation.
Requirements
Skills:Strong organisational and time management skills.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Experience with CRM systems and database management.Ability to work independently and as part of a team.Attention to detail and a high level of accuracy.Strong problem-solving skills.Proficiency in copywriting, proofreading, and editing. Personal Attributes:Enthusiastic, proactive and self-motivated.Strong interpersonal skills.Flexible and adaptable to changing priorities and demands. Qualifications:Education: 3rd level degree qualification, a Bachelor’s Degree in Business Administration, Marketing, or a related field is preferred.Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar role, preferably in a professional services environment.
