About the Opportunity
We are seeking a dynamic and proactive Executive Assistant to provide critical support to our Chief Executive Officer (CEO) and Chief Legal Officer (CLO).
This fixed-term position offers the opportunity to work closely with the CEO & CLO, playing a pivotal role in delivering high-level administrative, operational, and project management support.
The successful candidate will be responsible for providing executive support, managing schedules, email inboxes, confidential documentation, travel arrangements, and meeting logistics. They will also act as a trusted liaison between the CEO's office and internal business units, corporate functions, and external stakeholders.
Key Responsibilities:
* Provide high-level executive support: managing schedules, email inboxes, confidential documentation, travel arrangements, and meeting logistics.
* Act as a trusted liaison between the CEO's office and internal business units, corporate functions, and external stakeholders.
* Maintain forward-planning systems to manage meetings, actions, and deadlines effectively.
* Oversee communication & correspondence: drafting responses, handling enquiries, and ensuring timely follow-ups.
* Support Board & Committee interactions: coordinating documentation, scheduling, and logistics.
* Manage financial & operational tasks: including processing expenses, purchase orders, and invoices.
* Assist with event coordination: ensuring smooth execution of CEO & CLO-related engagements.
About You
We are looking for an experienced Executive or Personal Assistant who has supported C-suite leaders in a corporate or equivalent setting. The ideal candidate will have a proven track record of:
* 8+ years of experience in a similar role.
* A proactive problem solver who thrives in fast-moving environments and can handle competing priorities independently.
* Exceptional relationship-building skills, with experience engaging with senior stakeholders internally and externally.
* Strong discretion & professionalism, handling sensitive information with absolute confidentiality.
* Impeccable attention to detail, efficiency, and the ability to anticipate needs before they arise.
* Excellent communication skills, both written and verbal, with the ability to simplify complex information.
* Strong IT proficiency, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), MS Teams, and Adobe Acrobat.
