Job Summary
We are seeking an experienced Dispatch and Service Administrator to join our busy team in Tallaght, Dublin 12. This permanent role will involve coordinating and managing service operations.
About the Role
This is a crucial position that requires strong organizational and time management skills. The successful candidate will be responsible for:
* Coordinating daily schedules for service engineers based on customer requirements, engineer availability, and job priority.
* Monitoring real-time job progress and adjusting schedules as necessary to meet deadlines.
* Allocating resources effectively to optimize coverage and minimize downtime.
* Serving as the first point of contact for service requests and enquiries.
* Communicating effectively with customers to confirm service appointments and updates.
* Addressing customer complaints or issues, escalating to the appropriate team if necessary.
* Maintaining accurate records of service calls, including job details, engineer assignments, and completion times.
* Preparing and updating reports on service performance metrics.
* Assisting with invoicing and follow-up on outstanding payments related to service jobs.
* Liaising with engineers to ensure they are informed of job details, site access requirements, and any specific tools or parts needed.
* Communicating updates and changes promptly to both engineers and customers.
* Coordinating with the parts and inventory team to ensure availability of required materials for service jobs.
Requirements
* Proven experience in a similar role, such as dispatching or scheduling.
* Strong organizational and time management skills.
* Excellent verbal and written communication abilities.
* Proficiency in using scheduling software and Microsoft Office Suite.
* Good geographical knowledge.
