Job Overview
We are looking for a detail-oriented Admin Assistant / Office Manager to support our growing team. This individual will play a critical role in ensuring smooth business operations, providing administrative support to both the Sales/Business Development team and the CEO, and acting as a liaison with the Finance department. This role is ideal for someone who is highly organized, proactive, and capable of multitasking.
Key Responsibilities
1. Sales & Business Development Support
* Assist the sales team in confirming availability at hotels and golf courses for client bookings.
* Maintain relationships with hotel and golf course contacts to streamline availability checks.
* Coordinate client preferences, special requests, and itinerary confirmations through liaising with clients.
1. Finance & Booking Coordination
* Act as a bridge between the Finance department and the Sales/Business Development team to ensure smooth processing of payments and deposits.
* Upon confirmation of deposit payments, finalize bookings with hotels and golf courses.
* Ensure all financial documentation is properly recorded and updated in the system.
2. Office Management & Administration
* Manage general office tasks, including ordering supplies, maintaining records, and ensuring a smooth workflow within the office.
* Handle incoming inquiries, emails, and correspondence.
* Ensure office systems and processes are up to date and functioning efficiently.
3. Executive Assistance to CEO
* Provide administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements.
* Prepare reports, presentations, and documentation as required.
* Assist in organizing and coordinating company events or strategic meetings.
4. Reporting & Documentation
* Generate reports related to bookings, payments, and operational performance.
* Maintain an organized and up-to-date filing system for client bookings and vendor agreements.
* Assist in compiling marketing and operational reports when needed.
Key Skills & Experience Required
* Experience: Minimum 3-5 years of experience in an administrative or office management role, ideally within the travel, hospitality, or tourism industry.
* Skills:
* Strong organizational and multitasking skills.
* Excellent communication and interpersonal abilities.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM tools.
* Ability to work independently while maintaining strong attention to detail.
* Familiarity with golf tourism or hospitality industry is a plus.
