Role Overview
This Legal Secretary position is part of the Real Estate Team at an International Law Firm in Dublin 2.
The role involves collaborating with the team, contributing to business and practice development activities, and providing support to fee earners.
Key Responsibilities
* Work closely with Finance teams to support financial performance, including client billing and reports, matter balances, and working capital management.
* Process expenses, conflict checks, and Client Due Diligence processes while adhering to best practice protocols.
* Ensure accurate completion of the end-to-end Client Matter Inception process.
* Onboard clients, prepare engagement letters, and liaise with the Business Acceptance Unit as required.
* Manage file processes correctly, including identifying matters for closure, paying bills, clearing client balances, and archiving completed files.
* Provide comprehensive diary management services, including forward planning and proactive travel arrangements.
* Attend team meetings, take minutes, and action audit queries from clients' accountants.
Business Development Support
* Support fee earners on organisation and attendance of events and conferences.
* Manage CRM administration, produce and update fee earner CVs, and use the Business Development hub and credentials database.
* Assist with bids, tenders, and pilots, and provide back-up PA support to the wider PA team.
Requirements
* At least 3 years of Legal PA experience (or equivalent) gained within a comparable environment and at an appropriate level.
* Excellent verbal and written communication skills, with proper grammar and punctuation.
* Confident stakeholder management with evidenced experience of engaging with internal and external stakeholders of all levels.
* Maintain efficient diary and task management across multiple tasks, ensuring accuracy and high service standards.
* Remain calm and optimistic under pressure, with a willingness to work flexibly to meet client needs.
* High degree of competence in using Microsoft Office suite.
