Administrator - Assisted Living Services

This post will be based in Assisted Living Services (ALS), which provides Personal Assistant (PA) Services to people with a physical disability. The Administrator will work as a member of a team to ensure the efficient and smooth delivery of services undertaken in the service.
Main Duties and Responsibilities
1. Provide general administrative support to IWA’s ALS, Enhanced Home Care and IWA at Home Services.
2. Receive visitors to the ALS office and manage incoming telephone queries from Service Users and staff.
3. Develop and implement rosters and support or relief systems for the service.
4. Assist with the payroll process and dealing with pay related queries.
5. Maintain data systems/database/reports of the service. Updating and utilization of CRM and other ALS systems.
6. Support Co-coordinators in the recruitment, induction, supervision, and monitoring of Personal Assistants.
7. Organize and support the preparation for induction, training, PA support meetings and appraisals for Personal Assistants and maintain relevant records.
8. Schedule service review and evaluation meetings.
9. Support the coordinator to implement Quality Systems and Health and Safety within the Assisted Living Service.
10. Support the development of the Assisted Living Service in the area.
11. Support fundraising activities in the area.
12. Any other functions as deemed necessary to ensure the smooth running of the ALS service.
PERSON SPECIFICATION
Training, Experience and Qualifications
1. Experience of working in a busy administration role, diary management and customer services is required.
2. High proficiency in generic IT applications, i.e., Microsoft Office, is required. IT Database Management would be a distinctive advantage.
3. QQI Level 5 (or higher) in Office Management or related course highly desirable.
Knowledge and Skills
1. Excellent telephone manner, interpersonal and communication skills.
2. Experience of working with people with disabilities desirable.
3. The ability to support operational decisions and possess good problem-solving skills.
4. Strong attention to detail.

Annual Salary for this position between €16,253.10 - €26,341.80 DOE.
