Operations Manager – XLCSSE

XL Catlin Services SE (XLCSSE) is an AXA XL service company regulated by the Central Bank of Ireland. It is one of three AXA XL legal entities which has its European headquarters in Dublin. The service company is the main European employer and provides regulated insurance intermediary services to various AXA XL regulated (re) insurance carriers (the “Carriers”) across the UK and Europe. It also provides support services to these same companies and to AXA XL companies outside the UK and Europe. In addition to the legal entity headquartered in Dublin, the Office of the Chief Operating Officer (COO), of which you will be a key member, supports the service company’s branch network comprising branches in 14 countries across two continents.
The Operations Manager will report directly to the COO of XLCSSE. The successful candidate will work closely with the COO providing general support across all aspects of the company’s activities. The role will be based full time in Dublin and hybrid working option will be available in line with our local Smart Working guidelines.

What will your essential responsibilities include?
* Support the COO in overseeing all aspects of the company’s critical outsourcing arrangements including the analysis of management information and reporting, key performance indicators and action plans.
* Active participation in the AXA XL divisional and Carrier forums relevant to XLCSSE. Deputising for the COO as required. Assist in monitoring the key strategic initiatives and projects in the division and wider group.
* Coordination of intragroup matters which impact XLCSSE from an operational perspective including responsibility for ownership of recording, tracking, and monitoring material XLCSSE intragroup agreements.
* Driving the enhancement of the company’s reporting process through development of reports, presentations and functional dashboards for Senior Management, Executive Committee (ExCom) and Board.
* Assist in designing and maintaining effective tools, dashboards and operational processes in collaboration with all the relevant functions.
* Collect and consolidate information for internal reporting and regulatory requirements for the COO scope, coordinating with internal stakeholders as needed.
* Maintain overall strategic agenda for the COO office (executive committee and management meetings). Act as Secretary (manage agenda, collate and distribute meeting packs, minute taking and action follow-up) for the ExCom. Responsibility annually for the ExCom’s Terms of Reference update and Self-Assessment process.
* Support the COO and Service Delivery Lead in the review and analysis of 2nd and 3rd lines of defense (Risk and Internal Audit) reporting to inform and validate the KPI reporting framework.
* Working with the management team to ensure the policies applicable to their area are updated and approved in accordance with applicable rules and AXA standards on an annual basis.
* Coordination of the process to develop the annual business plan that support XLCSSE’s business strategy.
* Support the COO in ensuring all stakeholders are fully informed in a timely and candid manner of the activities of XLCSSE regarding the achievement of its established goals and of all material deviations from the goals or objectives and policies established by the Board.
* Building and maintaining strong relationships with senior management of XLCSSE’s key intragroup clients (the Carriers) and other key internal and external stakeholders.
SHARE your talent
We’re looking for someone who has these abilities and skills:
* Educated to honours degree level or equivalent. Further relevant professional or academic qualifications could be advantageous.
* Experience in financial services in an Operations Manager or Senior Manager role, ideally in a large multinational corporation or in a regulated insurer/reinsurer function (e.g. Finance, Planning, Audit, Compliance).
* An understanding of the activities, issues and reporting requirements within a global corporation that are required to drive business insight and support decision making.
* A basic understanding of relevant regulatory issues and the ability to conduct horizon scanning with support from the broader team, to anticipate future industry changes that may impact the Company.
* Excellent verbal and written communication skills, with the ability to document and present information in a concise and business-oriented manner.
* Financial literacy with the ability to analyse financial reports and make data-driven decisions.
* Proficiency in Microsoft Office, particularly PowerPoint and Excel.
* Project management experience desirable including the ability to drive and support relevant initiatives while ensuring that process is followed, deadlines are met, and internal clients and stakeholders are kept informed.
* Excellent interpersonal and influencing skills to interact in a global organization and build rapport with all levels of the organisation.
* A change agent who will challenge the status quo and constantly strive for improvement.
* A strategic thinker with a fact-based analytical approach.
* Ability to deal with high volume and complex workload.
* Ability and agility to prioritize and deal with conflicting priorities daily, managing and anticipating needs, without sacrificing quality.
* Ability to interact and collaborate with virtual teams across multiple geographies and cultures and building own internal network.
