In this role, you will play a key part in planning and securing travel logistics, luxury accommodations, exclusive experiences, and tailored activities for bespoke itineraries designed for high-end travellers.

Key Responsibilities
Support the Design & Reservations Teams in the following areas:
1. Assist with client bookings for accommodations, tours, and activities, planning and coordinating travel logistics, ensuring all arrangements meet the highest standards.
2. Liaising with suppliers on availability and bookings in accordance with itinerary requirements and schedule, ensuring that bookings adhere to client preferences, budgets, and special requests (e.g., dietary needs, accessibility).
3. Manage various administrative tasks, including data entry, itinerary planning and updates, and maintaining client and supplier information.
4. Maintain detailed records of bookings, including reference numbers, dates, times, and any special requirements.
5. Handle modifications, cancellations, and amendments to bookings as requested by clients or as required operationally.
6. Resolve booking discrepancies with suppliers, including double bookings, pricing errors, or changes in availability.
7. Liaise with accounts on payment schedules and invoicing.
8. Assist with the adoption and optimization of new software or tools for enquiries, reservations, and booking confirmations for clients and suppliers.
9. Act as the point of contact during after-hours or on-call shifts, addressing urgent booking issues.
10. Work to deadlines and under pressure to resolve time-sensitive challenges while maintaining professionalism and customer satisfaction.
11. Support the Operations Team during high-demand periods by ensuring that all hotel, tour, and transport bookings are entered accurately into the reservations system and in a timely manner, communicating with drivers for tours and transfers.
12. Perform any ad-hoc tasks or duties as required by Management or company needs.
Required Skills & Experience
* Previous experience in reservations, travel coordination, or customer service.
* Detail-oriented: Strong organizational skills and attention to detail.
* Excellent verbal and written communication skills; able to liaise confidently with suppliers and team members.
* Ability to multitask and work under pressure in a fast-paced environment.
* Proficiency in Microsoft Office and booking/reservation systems.
* Strong problem-solving abilities and a customer-oriented mindset.
* Ability to work independently as well as part of a team.
Preferred Skills
* Experience in the travel, hospitality, or tourism industry.
* Knowledge of booking and reservation management software.
* Familiarity with corporate travel, VIP services, or event logistics.
