Job Overview:
Our client is seeking a highly organised and proactive Office Manager for initially a temporary position with the potential for permanent placement. This crucial role ensures the efficient operation of their Dublin 18 office.
* There will be no direct reports in this position.
* For now, there's a requirement for the role to be onsite 5 days per week, 8:30am to 5:00pm to get through the handover period and training. Over time, the team would be open to hybrid working, to be decided and discussed at a later stage.
* This role will report to the General Manager and you'd be supporting a team of approx. 50 staff members working hybrid.
* The right candidate will be proactive, have strong organisation skills, attention to detail, and strong communication skills including grammar.
* For the right individual, there are opportunities to get involved in more EA style work down the track as they have Senior Vice Presidents in this office.
Duties will include but are not limited to:
* Managing In-Office Experience: Serve as the primary point of contact for employees and visitors, ensuring a great first impression with a warm and welcoming atmosphere.
* Event and Meeting Coordination: Serve as a contact point for offsites, events, and meetings, managing setup requirements, and providing hands-on support for events, room configurations, and deliveries.
* Workplace compliance with facilities/property management including regular office audits to ensure all facility issues are promptly resolved.
* Manage daily office functions, including handling mail, deliveries, maintaining a clean and organised office, providing administrative assistance, and document preparation.
* Coordinate with building management to ensure quality services, compliance with lease obligations.
* Collaborate with IT for any operational needs.
* Assist with travel arrangements and expense reporting.
* Maintain records and filing systems.
* Support new employee onboarding.
Qualifications and Experience:
* Minimum 3 years proven experience in an office management role or similar role.
* Strong organisational and time-management skills.
* Excellent communication and interpersonal abilities.
* Proficiency in standard office software.
* Ability to work independently and collaboratively.
* Strong problem-solving skills.
* Ability to work in a fast-paced environment.
* Experience in the insurance/financial sector is a plus.
Remuneration:
Salary up to €45,000, DOE
