HEAnet - Executive Assistant to CEO (Hybrid)
HEAnet is Ireland’s National Research and Education Network, providing internet connectivity and ICT shared services across all levels of the Irish education system, reaching in excess of 1,000,000 end users. We connect learners and researchers across all of Ireland to education resources and to fellow national educational and research networks in Europe, and the rest of the world.
We have an exciting opportunity for an experienced Executive Assistant to support the CEO & Senior Leadership Team on a permanent contract basis.
This role is primarily based at our Dublin 1 offices, but we are pleased to offer a flexible remote working arrangement. This allows you to work from home up to three (3) days a week. You will be expected to work at least two (2) days a week in the office, giving you the opportunity to enjoy a balanced and dynamic work environment.
What the Executive Assistant to CEO does
Reporting to the CEO, the Executive Assistant will ensure that day-to-day management routines are navigated in an effective and timely manner to make the best use of the CEO’s time so they can successfully lead the organisation to achieve its objectives. This involves providing high-quality business support for the CEO including pro-active diary management and prioritisation, preparation for CEO meetings, management of correspondence, management of documentation and papers for key meetings, minute taking, organising travel itineraries and logistics.
Key to the smooth management of the CEO Office will be developing strong working relationships with stakeholders internally and across HEAnet’s Clients, Education and Research Partners and a variety of Government Departments. You will be the primary point of contact for many of our stakeholders who will look to the Executive Assistant for clear and timely assistance.
The Executive Assistant will act as a close liaison to the CEO’s direct reports; screening, prioritising and prompting, to ensure priorities are kept in focus and moving forward.
The role will provide occasional support to the HEAnet Board and Group Committees including supporting the Group Company Secretary and Assistant Company Secretary in the preparation of meeting packs, meeting preparation and minute taking as and when required.
The Executive Assistant will also provide administrative and business support to the wider Senior Leadership Team which may include correspondence management, coordination and administrative support for internal and external events, involvement in special projects and/or other assistance as required.
This role has a broad and varied remit so will interest someone with great organizational and coordination skills and the ability to adapt to changing priorities and demands. A continuous improvement mindset and ability to identify and implement process improvements will be of great benefit.

What we need from you
Minimum of three (3) years’ experience in similar role
Strong business support, coordination, organisation and administrative skills
Strong computer literacy, particularly within the SharePoint/MS Office suite
Minute taking experience
Excellent communication skills, both written and verbal
Ability to work in a busy work environment and to adapt quickly to changing priorities
Strong time management and prioritisation skills
High degree of discretion and ability to maintain confidentiality
Ability to build and maintain strong, collaborative working relationships
Proactive approach and continuous improvement mindset

Knowledge/understanding of Corporate Governance
