Access to Care Team Lead - UPMC Aut Even

Overview of role:
UPMC Aut Even Hospital is recruiting an Access to Care Team Lead on a 9-month fixed term contract. The Access to Care Team Lead for Medical Records will be responsible for planning staffing and delivery of services across the medical records functions at UPMC Aut Even Hospital. The medical records team will report directly to the Access to Care Team Lead for Medical Records. We are looking for a candidate with healthcare experience who is hands-on, comfortable dealing with multiple systems and reports, confident dealing with all levels of management, and proactive in seeking and implementing process improvements.
Primary Duties and Responsibilities:
1. In conjunction with the Access to Care Manager, lead on administration functions within the hospital including the management and direction of the teams for which you have oversight and all associated duties.
2. Ensure that agreed pathways are in place to support the timely delivery and collections of the patient charts for patient admission, discharge, and claims management.
3. Display a positive attitude and discuss decisions or policies in a positive, problem-solving way.
4. Establish and maintain open and professional communication with the multidisciplinary team leads throughout the hospital.
5. Plan resources to ensure smooth delivery of services and an enhanced patient experience while managing the teams accordingly.
6. Assist with Engagement and Competency appraisal, mentoring and feedback, based on clear objectives for each team member in conjunction with the Access to Care Manager.
7. Assist with planning day-to-day operations related to patient experience.
8. Ensure GDPR standards are upheld and daily process KPIs are met. Work closely with the Data Protection Officer as required.
9. Promote a culture of personal responsibility where team members are supported to deliver and held accountable for performance.
10. Identify metrics and implement reporting of key performance indexes for the Access to Care team within the Medical Records departments.
11. Work with Access to Care team leaders to develop a culture of “Get it right – first time.”
12. Collaborate with managers to provide an improved patient experience and communication process.
13. Review current SOPs and processes, identifying opportunities for standardization and alignment across the network and in line with JCI accreditation.
14. Support the Access to Care and Hospital teams in all other activities and ad hoc projects linked to improving the patient experience.
15. Act as a liaison with Iron Mountain to ensure the safe delivery of off-site charts.
16. Oversee the management of charts for FOI with the support of Iron Mountain, including a robust audit process.
Accreditation:
1. Familiarize with policies, procedures, and guidelines directly related to clinical care and area.
2. Assist in the review of policies, procedures, and guidelines under the direction of the chapter lead/department manager.
Lean:
1. Lead, facilitate, and participate in lean projects with all disciplines and departments of the hospital.
2. Support and participate with others to problem-solve and continuously improve through the use of lean tools and techniques.
3. Attend/participate in on-site training as required.
General:
1. There may be a requirement to work in other areas of the hospital in line with patient requirements as requested by your line manager/deputy or nurse management.
2. Staff must produce satisfactory documentary evidence of all training and experience claimed by them if required to do so by the organization.
3. Respect the organizational values of the Hospital.

Information Governance:
1. You may have access to, or hear information concerning the medical or personal affairs of patients and/or staff. Such records and information are strictly confidential. Records must never be left in such a manner that unauthorized persons can obtain access to them and must be kept in safe custody when no longer required.
Qualifications & Experience:
1. Excellent working knowledge of Microsoft Office.
2. Minimum of 1 year experience in medical records management or healthcare administration.
3. Relevant business qualification (Degree or equivalent).
4. 12 months experience in a similar role or healthcare setting.
5. At least 12 months previous people management experience required.
6. Experience of healthcare systems desirable.
7. Demonstrate leadership skills and ability to influence others.
8. Possess excellent communication skills.
9. Display evidence of continuing professional development.
10. Time management skills.
11. Able to act quickly to address urgent matters.
