Job Title: Transport Service Manager
Report To: Head of Operations
Job Purpose:
As the Transport Service Manager, you will be responsible for overseeing the maintenance efforts for a fleet of over 160+ vehicles and associated equipment. Reporting to the Head of Operations, your role is to ensure that the fleet is well-maintained, compliant with CVR legislation, and that all maintenance activities and costs are meticulously documented and reported.
Main Duties and Responsibilities:
1. Compliance and Legislation:
Ensure full compliance with CVR legislation, including planning, processes, and reporting.
2. Maintenance Policies and Procedures:
Assist in developing internal and external maintenance policies to ensure optimal fleet performance.
3. 12-Month Maintenance Plan:
Schedule and manage 12-week fleet checks and services.
Ensure weekly oil and water checks are documented and defects reported via the Driver Motion Metrics App are resolved promptly.
4. Insurance Claims:
Process and manage insurance claims from start to finish, including completing accident forms, liaising with providers, and managing associated costs.
5. Invoice Management:
Obtain maintenance quotes, issue purchase orders, and track invoices.
Liaise with Finance Department to ensure invoices are processed and budgets adhered to.
Communicate any deviations from pricing to the Head of Operations with valid reasons.
6. Fleet Documentation:
Ensure all vehicles carry the required documentation such as logbooks and insurance details.
7. Defect Systems & Processes:
Enforce defect management via the Driver Motion Metrics App, addressing daily reports and liaising with drivers.
8. Service Provider Management:
Monitor service providers to ensure timely and professional service and maintenance, including inspections, licensing, and insurance compliance.
9. In-House Maintenance Coordination:
Oversee and coordinate in-house maintenance team workload.
10. Audit Coordination:
Serve as the main contact for all audits related to fleet and maintenance.
11. KPI Reporting/Admin:
Complete daily and weekly KPI reports and assess performance. Implement corrective actions when necessary.
Provide administrative support related to post and PODs for Operations.
12. File and Paperwork Management:
Ensure vehicle files are kept up-to-date with accurate and complete paperwork in line with legal and operational requirements.
13. Fault Management:
Address faults and issues reported via the Motion Metrics app, ensuring timely resolution and accurate system records.
14. System Utilization:
Ensure all maintenance activities, issues, and solutions are fully recorded on Stratum and vehicle files.
Requirements:
* Minimum of 3 years' experience in Transport Supervisory or Management roles.
* Extensive knowledge of the transport or vehicle service industry.
* Proven ability to manage and maintain a large fleet of vehicles.
* Strong geographical knowledge of Ireland.
* Strong analytical and numeracy skills.
* Excellent communication and negotiation skills.
* Ability to make critical decisions under pressure.
* Flexible approach to work and a proactive attitude towards daily challenges.
* Positive can-do attitude, capable of influencing others positively.
* Previous experience in a similar role is a distinct advantage.
