Job Title: Receptionist
Job Summary
Receptionist for John O’Callaghan Ltd, an expanding accountancy and tax consultancy practice based in Market Square, Dundalk, Co Louth.
Duties & Responsibilities
1. Managing incoming calls and emails, providing timely and professional responses to inquiries.
2. Responsible for all visitors to the office, from initial welcome to ensuring they are met by their host.
3. Carrying out incoming and outgoing post duties as necessary, including responsibility for all deliveries/parcels received at the main reception desk.
4. Ordering supplies and maintaining inventory levels, e.g., stationery, catering supplies, etc.
5. Maintaining a safe and clean reception area, ensuring layout is tidy and welcoming materials are replenished.
6. Support senior team members administratively - client correspondence, maintain appointment diary, maintain database, filing, and reporting.
7. Scan all documents coming into the office including scanning of client VAT and accounting information in a timely manner.
Person Specification
1. Experience of working in an office environment essential.
2. Professional attitude and appearance.
3. Excellent customer service skills.
4. Strong communication (verbal & written) and interpersonal skills with a strong customer focus both internally and externally.
5. Good organisational and administration skills and ability to prioritise workload efficiently.
6. Working knowledge of Microsoft Office products including MS Word, Excel, and Outlook.
7. Ability to multitask.
8. Ability to work as part of a team.
