Job Overview:
We are seeking a highly organized and proactive Office Administrator to join our team. This role is essential in supporting the smooth operation of the transport department by handling administrative tasks such as data entry, communication with customers, and submitting reports. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
1. Data Entry & Transport Management System (TMS) Support:
o Enter and maintain accurate data in the Transport Management System (TMS), including delivery details, schedules, and customer information.
o Ensure that all records are up-to-date and reflect real-time changes as necessary.
o Assist with generating reports and maintaining documentation for the transport team.
2. Customer Communication:
o Respond promptly and professionally to customer emails, addressing any inquiries related to deliveries, schedules, and other transport-related matters.
o Ensure customer queries are resolved efficiently, ensuring high customer satisfaction.
3. Subcontractor Reports:
o Collect, compile, and submit subcontractor reports as required by management or the transport team.
o Ensure that all subcontractor performance data is accurate and submitted in a timely manner.
4. General Office Support:
o Handle general office duties such as filing, scanning, and organizing documents.
o Support the transport team with administrative tasks, including scheduling, preparation of paperwork, and other ad-hoc tasks as requested by the team.
o Maintain office supplies and ensure that all necessary materials are stocked and readily available.
5. Ad-Hoc Tasks:
o Assist with any additional office-related tasks that may arise, including assisting with team coordination and providing administrative support to other departments as needed.
Skills and Qualifications:
* Strong Organizational Skills: Ability to manage multiple tasks, prioritize, and meet deadlines in a busy office environment.
* Excellent Communication: Strong written and verbal communication skills for dealing with customers and internal teams professionally.
* Attention to Detail: High level of accuracy in data entry and document management.
* Proficient in Microsoft Office: Proficient in Excel, Word, and Outlook to manage administrative tasks and communications.
* Experience with Transport Management Systems (TMS): Experience with TMS or similar software is preferred but not essential.
* Customer-Focused: Ability to professionally address and resolve customer queries in a timely manner.

Pay: €28,000.00-€32,000.00 per year
