Job Title: Co-ordinator / Planner Administrator
Job Summary:
The successful candidate will be responsible for coordinating and planning administrative tasks, ensuring seamless communication with customers and internal stakeholders. This role requires a high level of self-motivation, excellent interpersonal and communication skills, and the ability to work within a team.
Key Responsibilities:
1. Liaise with Customers: Schedule service and validations of hospital equipment, and communicate with customers regarding scheduling and reports.
2. Manage Daily Call Outs: Coordinate day-to-day call outs to HSE & Private hospital groups, ensuring timely and efficient service delivery.
3. Process Reports: Check and file reports from service engineers, and send daily jobs and validation reports to customers.
4. Generate Service Reports: Process daily service orders on Microsoft Dynamics, and generate monthly service reports to track performance.
5. Conduct Regular Reporting: Perform regular reporting processes in line with Key Performance Indicators (KPIs), and maintain accurate records.
6. Support Sales and Service Team: Assist the Sales and Service team with field-based activities, and provide support with incoming and outgoing correspondence.
Requirements:
- Convey company policy to external parties in a positive manner.
- Proficiency in Microsoft Dynamics is an advantage.
- Experience in customer service is essential.
- Excellent communication and team working skills are required, along with a high level of energy and urgency to deliver results.
- Competent in Microsoft Suite, with strong time management skills and acute attention to detail.
- Ability to work under pressure, multitask, and work on your own initiative is necessary.
