University College Dublin’s Professional Academy is seeking a passionate and detail-oriented HR Generalist to join our growing team. The UCD Professional Academy delivers shorter, career-focused training to individuals across a wide variety of diploma and professional courses. Housed within a commercial company owned by the University, the Professional Academy offers a fast-paced, dynamic, and forward-thinking environment.
In this pivotal role, you will work closely with the People and Operations Teams to support our talented staff and Subject Matter Experts (SMEs), contributing to a positive and professional working environment. Your work will ensure compliance, accuracy, and the smooth operation of HR processes, supporting the growth and success of the UCD Professional Academy.
Key Responsibilities
HR Administration
* Maintain up-to-date and accurate employee records in compliance with GDPR and company policies.
* Prepare and issue HR documentation such as contracts, offer letters, and role descriptions.
* Support the preparation of payroll information by ensuring accurate data is provided to the finance team.
* Develop and maintain a clear system for tracking probationary periods, contract renewals, and visa expiration dates.
Recruitment and Onboarding
* Schedule interviews and maintain communication with candidates and interview panels.
* Assist in the preparation of onboarding packs and documentation for new staff and SMEs, ensuring all required paperwork is completed and filed.
* Coordinate induction schedules and assist new employees with access to systems, platforms, and other resources.
* Maintain accurate records of recruitment and onboarding activities for reporting and compliance purposes.
* Contribute to employer branding initiatives, such as job advertisements and career events.
Employee Engagement and Support
* Assist in coordinating wellness initiatives, professional development programmes, and employee events.
* Support staff recognition programmes and gather feedback to continuously improve engagement.
* Act as the first point of contact for HR queries, providing advice or escalating issues as needed.
Compliance and Reporting
* Monitor and ensure compliance with UCD Professional Academy HR policies and relevant employment legislation.
* Assist in the preparation of reports on recruitment, employee performance, and other HR metrics.
* Conduct regular audits of employee files to ensure compliance with GDPR and employment laws.
Learning and Development
* Support the delivery of CPD (Continuous Professional Development) initiatives for staff and SMEs, helping to foster a culture of growth and learning.
* Track and record staff training completions, certifications, and CPD requirements.
Key Requirements
Mandatory
* Three years minimum experience in an HR generalist, administrative, or similar role, preferably in a higher education or professional training environment.
* Strong organisational skills with excellent attention to detail.
* Familiarity with Irish employment law and GDPR compliance.
* Ability to manage multiple priorities in a fast-paced environment.
* Proficiency in HR software, Microsoft Office Suite, and shared workspaces/platforms for collaboration.
* Demonstrated experience in maintaining confidentiality and discretion in handling sensitive information.
Desirable
* Experience in policy development, including drafting and updating HR policies in line with legal and organisational standards.
* Knowledge of performance management processes, including probation reviews and performance improvement plans.
* Experience implementing initiatives to improve employee engagement and retention.
* Qualification in HR, Business Administration, or a related field.
* Experience in a dynamic or commercial context within higher education or training organisations.
