Job Description:
This role involves the design, implementation, and maintenance of systems and processes that ensure all scheme documentation is up-to-date, accessible, and compliant with industry standards.
* Design, implement, and maintain a centralized document storage system to streamline access and retrieval of core scheme documentation.
* Ensure scheme documentation is always up-to-date and easily accessible.
* Assist the Quality & Reporting Manager in updating and maintaining Standard Operating Procedures (SOPs).
* Develop and enforce change control protocols to ensure modifications to documents or processes are properly reviewed and approved, maintaining data integrity and compliance.
* Conduct internal audits and spot checks on documentation and processes quarterly to ensure compliance with quality standards.
* Maintain and enhance the centralised Smartsheet system to ensure efficient data management and accessibility for employees
* Investigate and support corrective actions for quality issues to ensure compliance and continuous improvement.
* Provide Subject Matter Expert (SME) guidance on the NDG RPL process.
* Conduct training sessions for staff on SOP updates, quality control procedures, and new tools.
* Act as an SME for quality processes and document management, providing expert guidance to teams.
* Identify workflow inefficiencies and propose automation or process optimisation solutions.
* Assist in the implementation of new tools, templates, and dashboards to streamline quality tracking.
* Participate in continuous improvement initiatives to refine internal procedures and enhance efficiency.
* Develop clear communication strategies to inform teams about new quality protocols, SOP updates, and best practices
* Support the Quality & Reporting Manager on key quality and process improvement projects.
* Work effectively and cooperatively with other staff members.
* Develop open, honest, and respectful relationships with others and foster good working relationships within the team

Qualifications:
* Bachelor's degree or equivalent.
* 3 years administration experience.
* Advanced skills in Excel, Power BI, and Smartsheet.
* Experience with quality management systems and document control.
