Clerical Officer
Our client, a public sector body, wishes to hire an experienced Clerical Officer who is immediately available for a full time, 35 hours per week, position on a temporary 3-month contract based in Merlin Park.
RESPONSIBILITIES
1. Supporting the SEO in all administrative needs
2. Preparing HR Forms
3. Ability to work in a fast-paced environment
4. Checking, verifying, and recording invoices on behalf of the Senior Executive Officer in respect of Utility Bills, Agency, Storage, Cleaning, and Printer Invoices
5. Processing orders for Janitorial items and Oil requests
6. General administration duties, e.g., filing, typing, data input, photocopying, scanning, etc.
7. Minute taking as required
8. Dealing with queries by phone, email, and post
9. Contacting relevant stakeholders to follow up on queries, particularly in relation to invoices and services not provided as per contracts
10. Attending and arranging tender viewings with prospective Cleaning Companies with the Assistant Staff Officer and attending committee meetings
11. Any other duties as assigned by the Staff Officer/Senior Executive Officer
12. Scheduling clinics
13. Processing claim forms
14. Processing and issuing Primary Medical Certs to people with disabilities
15. Sending out clinic appointment letters
16. Keeping the client database up-to-date
REQUIREMENTS
1. Proficient with Microsoft Office; Word, PowerPoint, and Excel
2. Previous experience within HSE
3. Strong typing skills are essential
4. Dictaphone typing is desired but not essential
5. Excellent communication, organisational, and presentational skills
6. Attention to detail, prioritisation, and deadline-oriented
