Job Description
We are seeking an Executive Assistant to join our Waterford manufacturing site on a permanent basis, representing Horizon Therapeutics.
Position Summary:
This role requires strong initiative and the ability to effectively prioritise and handle a diversified workload in a confidential and sensitive manner. The position is located at the Waterford manufacturing plant and reports to the VP of Manufacturing & Site Lead.
Responsibilities:
1. Focal point of contact for the VP Manufacturing & Site Lead and SLT within a busy manufacturing environment.
2. Provides comprehensive support services to the VP Manufacturing & Site Lead, as well as to the SLT, ensuring a professional, responsive, and effective experience within the organisation as a whole.
3. Event management - key visits, off-sites, etc. Thorough end-to-end coordination of such events ensuring every detail and preparedness is as it should be to realise desired outcomes.
4. Governance - provides support to the efficient execution of the site's day-to-day business. Maintenance of visual reporting (KPIs), risk profile, action & decision logs, meeting minutes, monthly communications, steering meetings, etc.
5. Preparation of reports and presentations with a very high standard of compilation & accuracy.
6. Headcount management & reporting - maintains Waterford headcount overview for monthly reporting.
7. Coordinate with the Facilities/Engineering teams on-site re. events both on and offsite.
8. Act as a Waterford counterpart for administration teams based in Dublin, the US and Germany.
9. Provides sophisticated calendar management to the SLT. Priorities inquiries and requests while troubleshooting conflicts with little guidance; makes judgements and recommendations to ensure smooth day-to-day engagements.
10. Meeting management - invite & agenda management, action & decision log maintenance, presentation pack compilation, etc.
11. Responsible for managing the SLT travel arrangements and travel expense management. Process and submits expenses accurately and timely ensuring compliance at every step.
12. Communicates routinely with other Horizon sites to ensure appropriate coordination of executives' schedules and activities.
13. Support various day-to-day administration needs of the SLT.
14. Assist with the recruitment & onboarding for new team members.
15. Support work to maintain and promote the Horizon culture in Waterford.
Qualifications and Skills Required:
* 15+ years industry experience with 5+ years of proven success supporting site lead & senior team in a fast-moving environment.
* 3rd level education preferable.
* Biopharma industry experience preferable.
* Advanced proficiency in Microsoft Office suite, incl. PowerPoint, Excel, etc.
* Ability to handle sensitive and confidential information discreetly.
* Enjoys working in a collaborative environment.
