Position Overview
We are seeking a diligent and detail-oriented Client Support Administrator to assist senior advisors in delivering comprehensive financial planning and wealth management services.
Key Responsibilities:
* Operational Support
o Coordinate and manage client documentation and files, ensuring accuracy and compliance.
o Maintain and update client records in our financial planning software and databases.
o Prepare necessary documentation for client meetings and follow-ups.
o Support compliance and regulatory requirements by adhering to checklists, templates and procedures in preparing and maintaining necessary documentation.
o Assist in the recording of relevant data to enhance monitoring of internal processes to ensure operational efficiency.
o Maintain required level of speed and accuracy of processing as measured by team Key Performance Indicators.
* Client Services
o Handle client inquiries in a friendly and helpful manner and provide information on financial products and services within agreed SLAs.
o Schedule and execute client Onboarding meetings, ensuring all necessary onboarding documentation is complete to the utmost professional standards whether working from office or home.
o Develop and maintain strong client relationships through regular communication and follow-up.
o Following meetings ensuring all necessary documentation is completed and filed.
o Take an attitude of phone first in resolving queries.
* Financial Planning and Analysis
o Assist in the preparation of financial plans and reports for clients.
o Prepare financial projections and performance reports for review by senior advisors.
o Support senior advisors in researching and analyzing pension, investment and protection options.
* Investment Administration
o Assist in the administration of client investment portfolios, including transaction processing and record-keeping.
o Prepare investment performance reports and summaries for clients.
* Administrative Tasks
o Provide administrative support to the financial advisory team, including processing new business documentation, client change requests, document management, scheduling, and correspondence.
o Collaborate with administrative staff, sales and external stakeholders companies to ensure smooth day-to-day office operations.
o Assist in organizing and maintaining office supplies and resources.
* Professional Development
o Stay current on financial planning and wealth management industry trends and best practices.
o Pursue relevant certifications and professional development opportunities, adhere to all compulsory training.
o Participate in team meetings and training sessions to enhance skills and knowledge.
Qualifications:
* Relevant certifications (e.g., QFA, CFP) preferred or willingness to obtain.
* Previous experience in financial planning and wealth management administration or in a related field.
* Strong ethics of task ownership, accountability, proactivity.
* Strong organizational and time management skills.
* Excellent communication and interpersonal skills.
* Proficiency in financial planning software and Microsoft Office Suite.
* High level of accuracy and attention to detail.
* Ability to work independently and as part of a team.
