We are seeking an experienced and highly organised Office Administrator to join our team. This role is pivotal in ensuring the smooth operation of our office and supporting the senior management team with a variety of tasks. The ideal candidate will have a proactive mindset, strong coordination skills, and the ability to manage multiple tasks concurrently. You will be the backbone of our office operations, responsible for a wide range of activities including assisting directors, coordinating office logistics, and supporting employee onboarding. Your responsibilities and tasks:
This is a hybrid role requiring three days per week in the office, with the specific days being flexible based on business needs. The ideal candidate should be adaptable and open to adjusting their schedule accordingly.
1. Executive Support: Provide comprehensive administrative assistance to company directors, including scheduling, travel arrangements, and meeting coordination.
2. Office Operations: Oversee day-to-day office operations, including managing supplies, coordinating maintenance, and handling office-related issues.
3. Asset Management: Maintain and update asset registers, ensuring accurate records of office equipment and resources.
4. IT Coordination: Manage the ordering and distribution of IT equipment for new and existing employees, working closely with the IT team.
5. Compliance Support: Coordinate internal communications related to GDPR, information security, and compliance updates.
6. Onboarding Coordination: Facilitate the onboarding process for new employees in collaboration with managers, HR, and Health & Safety, ensuring a seamless start for new team members.
Your profile and qualifications:
1. Experience: Minimum of 5 years’ experience in a busy office environment, demonstrating strong organisational and multitasking skills.
2. Technical Skills: Proficient in Microsoft Office Suite, particularly Excel and Word.
3. Communication: Excellent written and verbal English, with the ability to communicate effectively across all levels of the organisation.
4. Initiative: Ability to work independently, take initiative, and solve problems proactively.
5. Education: A third-level qualification is advantageous but not essential.
