The Role:
This role is based on site at St. Vincent's University Hospital in Dublin 4. As a supervisor, you will manage a team of service representatives working 7 days a week, 365 days a year. You will need to work some weekends and public holidays as required.
You will be responsible for staff and activities covered under the contract, liaising closely with senior hospital management and procurement departments. This is a hands-on role requiring significant record-keeping and organisational skills.
Key Responsibilities:
Manage a team of service representatives to ensure smooth delivery of all Elis services and activities across the site.
Develop and manage shift rosters to ensure activities are carried out at required intervals with adequate cover in place.
Approve payroll for service representatives weekly, controlling hours within allocated budget, and addressing any variances.
Ensure training completion and currency for the team (e.g., Manual Handling, Trolley Procedures, Fire, Health & Safety, Hygiene, and Infection Control requirements).
Perform performance management of the team, addressing issues through company procedures.
Develop the stock system and PAR levels on site, ensuring sufficient cover while avoiding under/overstocking, and reviewing data to amend orders accordingly.
Place orders and requirements through the online ordering app, resolving site-specific issues with production and distribution functions.
Prepare daily, weekly, and monthly reports for both the hospital and Elis.
Establish a relationship with the customer to resolve service issues efficiently and effectively.
Administer account management, including setup, price list management, and approval of credit requests.
Place purchase orders for consumables and agency staff as needed.
Review site activities to implement best practices and lean principles.
Carry out other reasonable tasks assigned by the hospital or Elis.
Requirements:
2-3 years' experience in a people/facilities management role.
Excellent interpersonal and communication skills, with ability to establish good working relationships at all levels.
Ability to handle pressure and high volume of work at peak periods, with attention to detail and good time management skills.
Good organisation skills, multitasking, and prioritisation abilities.
Advanced computer skills, including Microsoft Office suite proficiency (Excel, Word, PowerPoint, E-Mail, Pivot Tables etc.).
Good business understanding and commercial skills.
Customer-minded problem solver - proactive.
Working Hours:
Full-time, Monday-Saturday.
