Post Title: Clerical /Admin Grade V
Post Status: Specified Purpose Contract
Department: Medical Directorate.
Location: Beaumont Hospital, Dublin 9
Reports to: Directorate Support Manager; with regard to day to day operational issues around Lung Health Co-ordination, overall quality of work, development and compliance with strategic and operational objectives.
Business Manager; with regard to day to day operational task assignments for PA component role.
Salary: Appointment will be made on Grade V salary scale (€51,206 - €59,375) €61,253 LSI at a point in line with Government pay policy.
Hours of work: Full Time 35 Hours per week
Closing Date: 5.00Pm on 18th of April 2025 (The hospital reserves the right to close the competition early should a substantial number of applications be received)
Responsibilities
Responsibilities:
* Under general supervision, to carry out the functions of the support supervisor role as directed by the directorate management team in line with established standard operating procedures.
* Plan and organise work to comply with established objectives and deadlines. Understand and adhere to all relevant Beaumont Hospital policies, guidelines and procedures, comply with health and safety, infection control and risk management procedures, comply with statutory obligations.
* Participate in performance review/ achievement and the development of a personal development plan in conjunction with and as required his/her line manager.
* Maintain and update compliance with mandatory training (Fire Safety, Manual Handling, Hand Hygiene etc).
General Duties:
* Telephony duties
* Diary/email account management
* Weekly/Monthly/Ad hoc Data reports (Diver/Excel)
* Compilation of monthly/year end EMG report
* Provide a variety of admin functions to support Co-ordination of Lung Health service initiatives (Alpha-1 Antitrypsin, Pleural Service etc) up to and including waiting list management, scheduling, clinical correspondence, reception, MDT meetings, data collation and reporting, as may be required.
* Provide cross cover with other members of Directorate Admin Support as required.
* Act with discretion and integrity at all times in relation to sensitive data linked to the Medical Directorate/Beaumont Hospital.
* Scheduling/Minute taking for interdepartmental meetings as required.
* Perform such duties appropriate to the office as may from time to time be required and/or as directed by Medical Directorate Management Team.
* Filing, photocopying and all other office duties.

Time & Attendance:
Work Pattern: Monday – Friday Target Hours: 35 per week
Flexi-time (Extended Working Day Roster)
Start Time: between 07:30am – 10:00am
End time: between 15:30 – 18:30pm
It is essential that at least one supervisor is on site at 07:30am daily and one remaining on site until 17:00pm daily.

Candidates must have at the latest date of application:
- 1. Professional Qualifications, Experience (a) Eligible applicants will be those who on the closing date for the competition: (i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied.
Or (ii) Passed an examination of at least equivalent standard
Or (iii) Satisfactory relevant experience which encompasses demonstrable equivalent skills And (b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office based on the skills competencies and knowledge for the post.
* Health A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
* Character Each candidate for and any person holding the office must be of good character.
Desirable:
* Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook)
* Experience working in a healthcare environment
* Excellent keyboard skills
