Supporting the Guinness Brand
The Operations Team plays a vital back-office role in supporting the Guinness Quality Team to ensure consumers receive a perfect pint on every occasion. This role is responsible for providing administrative support to the Field Teams, enabling them to do their job effectively, while ensuring our clients have the necessary administrative support as required.
Reporting and IT Responsibilities
* Preparation and distribution of client reports as per agreed timelines.
* Use of MS Office software, with a real focus on MS Excel.
* Act as the first point of contact for Field Team IT issues such as IPAD access and password recovery, escalating to the CPM IT Team if necessary.
* Preparation of accurate customer invoicing.
General Account Administrative Responsibilities
* Effectively distribute emergency breakdown calls across a team.
* Process onboarding and offboarding of team members.
* Update and maintenance of Field Team Call files.
* Liaise with the team to arrange call coverage.
* Organisation and coordination of any client or field team meetings.
* Development of training materials for the field team, e.g. any new Health & Safety or training modules.
Logistics and Assets Coordination
* Arrange and maintain inventory and uniform levels with field staff.
* Aarrange ordering, allocation and distribution of program assets with all field staff.
* Maintain account staff contact details.
* Maintain asset log of all vehicles, vehicle assets, fuel cards, toll tags and insurance for team.
* Liaise with field staff to ensure sufficient equipment on hand at all times and arrange replacements if required.
Requirements
* Minimum of 2 years experience in an operations, reporting or administrative role desirable.
* Administration experience in fleet management.
* Strong MS Office knowledge and experience desirable.
* Knowledge of the Salesforce/EDGE platform would be advantageous.
* Organised and able to manage a host of priorities.
* Experience of effectively working in a team environment.
* Strong written, verbal and phone communication skills.
* Ability to build and maintain excellent relationships across the wider CPM and Diageo teams.
* Initiative and ability to perform independently and without direct supervision.
