Your impact
We are seeking a dedicated and proactive Office Facilities Lead to ensure the smooth operation of our office. This role involves managing office supplies, equipment, and services, overseeing the office budget, and maintaining the overall functionality of the workspace. You will be the go-to person for all facility-related issues, working closely with local leadership and various teams to support daily operations.
About the Opportunity
* Ensure the office is equipped with necessary supplies and services.
* Collaborate with local office leadership on office-related issues.
* Manage the office overhead budget and monitor financial reports.
* Process invoices and charges related to facility management.
* Communicate with office staff regarding facility-related issues.
* Serve as the onsite contact for building management and local vendors.
* Manage reception, mail, courier services, and offsite archive storage.
* Review and understand the local office lease and ensure compliance.
* Support the management of any sublease of office space.
* Assist in new starter induction related to Health, Safety, and Environmental requirements.
* Provide support for Human Resources and IT as needed.
* Ensure the security of the physical office space and support the Business Continuity Plan.
* Support office sustainability tasks and reporting.
* Manage local offsite archiving and destruction.
* Coordinate physical changes within the office, including furniture moves and installations.
* Maintain all Facilities data in alignment with global requirements.
* Supervise facility staff and participate in hiring and training processes.
* Manage building and grounds responsibilities where applicable.
* Support cross-functional teams or projects as needed.
Work Environment
The UK&I Facilities & Real Estate team role is office based and can support full time hours (40 hours/week) Monday until Friday. Physical activity is a daily part of this role, you will need to be able to lift (aligning with UK HSE guidance), bend, stoop, walk, climb stairs, and sometimes sit at reception for long periods.
