Job Purpose
The position is primarily responsible for the day-to-day trading and administration activities for closed and semi closed funds such as Private Equity Funds, Hedge Funds, Limited Partnerships, Real Estate Funds but also PICs, SPVs, Promissory Notes and other unlisted assets. The candidates must demonstrate initiative, be able to perform well under pressure and simultaneously handle multiple assignments.
Key Responsibilities
Key Responsibilities
* End to End dealing process for Complex Assets held in Utmost PanEurope dac name.
* Review limited partnership agreements, PPMs/OMs and other investment documents to ensure the assets meet permissible criteria.
* Complete subscription application forms, commitment agreements, transfer agreement, KYC questionnaires,
* Deal with Funds’ Managers and Administrators on subscription process
* Assist in asset set up in the administration system
* Input/Review/Approve the transactions in the asset administration system (money movement, trades, capital calls, cash distributions) in accordance with established procedures
* Review and approve all payments related to capital calls and subscriptions
* Review capital account and valuation statements of the Complex Assets held in the policies portfolios.
* Maintain primary day to day contact relationship with Asset Managers for all administrative and accounting matters related to Complex Assets.
* Review bank portfolio statements in order to assess liquidity.
* Dealing with Sales Representatives, Policy Asset Managers and Advisors on investment recommendations in an efficient and professional way.
* Manage internal workflow to ensure internal processing and client deadlines are met.
* Keep all the procedures and process flows up to date.
* Coordinate client deliverables, both with clients and internally, such as financial statements, capital calls and distribution notices.
* Maintain working relationship with colleagues from other departments
* Participate in special client or internal projects as required;
* Assist with continuous improvement of operational processes and systems, in line with controls and risk management in a regulatory environment.

* Support the business in the development of new initiatives.
* Manage the End-to-End dealing process for Complex Assets.

* Manage client expectations with both client contacts and Complex Asset Managers, as necessary,
* Delivery of the Department objectives
* Ability to set the workflow priorities and adjust where necessary
How the position is expected to Deliver
* Review and approve all transactions (money movement, trades, capital calls, cash distributions and so on.) in accordance with established guidelines.
* Provide guidance to front office/clients to ensure assets purchased are in line with permissibility deadline.
* Provide support and guidance to Sales representatives, Asset Managers and Advisors
Control
* Assist in continuous improvement of operational processes and systems, with an appreciation of the concept of controls and risk management in a regulatory environment.
* Review the asset legal documents from investment and tax perspective, valuation statement, capital call and distribution notices. Escalation if any discrepancy is identified.
People / stakeholder Management
* Work collaboratively with Internal and External stakeholders.
* Delegate task and support junior members of the team.
Key Requirements
Required / Desirable Qualifications and Experience
* Candidates must have a university degree (accounting; business, mathematics, finance, or economics degree required)
* Self-starter, extremely organized with strong commitment to accuracy and detail.
* 5 years’ experience in middle office or transfer agent role, some supervisory experience would be beneficial.
* Strong computer skills are required, especially Microsoft Office / MS Excel
* Experience in dealing with HNW and UHNW Individuals with the ability to solve issues efficiently and effectively.
* The ability to work under pressure and to meet tight deadlines while displaying strong attention to detail.
* Enthusiastic, organized and self-motivated.
* Demonstrates strong organizational and communication skills.
