The Facilities Assistant is required to assist in the management of the facilities at our client site and is required to provide support to our client with Meeting and Event set-ups and work closely with the onsite Facilities Co-Ordinator to provide additional support as needed.
Location: Dublin 8
Working pattern: Monday-Friday 8:30AM-5PM
Job Description:
1. Events, Meeting Rooms & all hospitality spaces must be presentable at all times, whether set for use or reset as per the Client’s design.
2. Daily Checks of all Facilities onsite.
3. Report Facilities/Cleaning issues you come across.
4. Work closely with the Client Workplace Team for all meeting & event requests and ensure continuous monitoring of the client’s event calendar.
5. Ensure furniture moves and resets are carried out as required; this will involve lifting & shifting heavy items, including equipment & furniture.
6. Manage last minute/urgent requests in a timely manner and problem solve challenges as required.
7. Ensure hands-on training is applied, particularly to ensure the Client’s property is cared for and maintained as much as possible (i.e. furniture, equipment).
8. Assist in emergencies such as light leaks, spills, etc.
9. Light fabric repairs: carpet tile replacements, hanging of pictures, some painting and noticeboards, etc.
10. Completion of planned preventative maintenance tasks such as Water Flushing, Building Condition Reviews.
11. Respond to soft service calls logged with the facilities help desk. Investigate the nature of the problems and seek a speedy resolution.
12. Back of house operations are always maintained in a presentable & organized manner (i.e. storage spaces, goods lift spaces, pantry areas, etc).
13. Ensuring maintenance issues are logged on the CAFM/ticketing system and escalated as appropriate.
14. Support the Facilities Team with additional tasks as needed.
15. Be proactive in communicating with the Facilities Team Manager and helping to find solutions when needed.
16. Carry out weekly fire bell tests.
17. Record ESB meter readings by the last week of the month and provide data to Client.
18. Any other Ad-hoc duties which may be required from time to time.
19. Flexible approach to demand and working hours (possibly involving evenings and weekends).
20. Adhere to local legislative and Client H&S protocols.
21. Any other requests may be required from time to time.
Requirements:
